Position Summary
To provide administrative and secretarial support to the Executive Administration team. This assistance includes all communications that involve the Administrative Offices and coordination of various special projects.
Accountabilities
Duty/Responsibility #1 (35%)
Provide administrative support to Administrative staff as it relates to interacting with corporate professional staff, supervisors, department heads, and other agencies/entities. Receive and review all incoming correspondence. Responsible for preparation and accuracy of relevant outgoing correspondence and documents.
Duty/Responsibility #2 (35%)
Maintains calendar based on knowledge of existing and anticipated commitments, areas of concern or interest and importance of requested appointments.
Arranges for staff meetings, including reserving rooms, notifying participants of time/place/subject, arranges for necessary equipment, food and other needs.
Duty/Responsibility #3 (30%)
Cover front reception desk, meet and greet all incoming guests and answer the main administrative line, extension 4000.
Other duties as assigned.
Minimum Qualifications
Education
High School Diploma/GED
Possess or have the ability to obtain (by time of hire) a current Alaska driver’s license
Knowledge, Skills & Abilities:
Knowledge of:
Computer word processing applications (advanced)
Spreadsheet applications
Customer Service principles and processes
Basic office equipment
Skilled in:
Organizing work and maintaining an attention to detail
Interpersonal skills
Oral and Written communication
